For a small to medium scale company, GST compliance is a big headache no doubt. Keeping a track of all the sales invoices, purchase orders, filing tax returns with GST compliance and tracking all inward and outward process is no mean feat. And if you are continuously on the go, you need to keep these documents securely stored so that you can enter the details into your accounts later. Vyapari app from Logo Infosoft is an application that aims to help business to create GST Compliant Sales and Purchase invoices anytime, anywhere both from the app and the website. GSTR data gets updates real time so you are already ready to generate your monthly or quarterly GSTR reports.
There is a quick sign up process directly from the website as well as from the Android/iOS app. You can sign up both as a Company as well as a Chartered Accountant hired for a company. The ability to sign up CAs and Sales Practitioners is quite unique and difficult to find in any other such application. CAs can sign up only from the app and then only can access the account from the web.
You might find it more comfortable to enter the details on a desktop screen. If you are just starting out, you should head straight to the Customer/Suppliers section and enter the details of your customer along with their address, GSTIN number and contact details. The PAN details are automatically populated using the GSTIN number.
Just like the details on your customer, add the details of the Materials/Services you offer in the corresponding section. Create a product code, scan the barcode of your inventory to avoid any errors, enter the Unit type on the basis of which cost will be calculated like Length, Area or user-defined values in case you are into digital business. Mention the Unit price and Sale price and a description if you want to and click on Save.
Bar Code scanning is a new functionality that speeds up the invoice creation process to a large extent. I was able to scan and generate invoice for 5 products within a minute.
In the Sales page, you can now enter the details of your sales transaction. Depending on the item code and customer you select, the GST is automatically calculated by the application. You can decide to add a discount and the total calculation adjusts accordingly in this GST compliant ERP solution. You can add multiple transaction details in the same window by adding one or more rows.
I noticed that the state-codes are predefined in the system, the terminologies used are the same used by GSTN, so you don’t need to worry about data entry errors or cleanup later. Similar was the case for many of the other fields too. This can make life easy for many users who don’t know about these technicalities.
The GSTR section of the application allows you to generate GSTR-1 and GSTR-3B in a few clicks. You need to enter some basic details and the system generates a JSON or XLS file. The GSTR3B I generated was in the same format as the Government template, so your CA should find this very easy to use. While we use only GSTR 1 or 3B only today, I noticed they have a few more like GSTR2 and GSTR6, which are not useful. I did not find GSTR4 and GSTR9 in the list.
I tried some tinkering with the app functionalities to see how it prevents entry of wrong input. I tried to add a separate delivery location on a sales invoice for a cash and carry customer. The app did not allow to me to do this and showed an error message. This means that the app detected a illegitimate input and blocked me from making a mistake.
All in all, Vyapari app is an all in one GST compliant ERP solution that makes it easy to keep a track of all your sales and purchase invoices, GSTR and also assists in filing returns by generating JSON or XML. The fact that it comes with apps for both Android and iPhone makes it possible for you to keep everything updated on the go. If you have a CA to take care of your transactions, the app has the mechanism for you to authorize your CAs and give appropriate access rights. For SME and MSME, this app is a simple way to ease your burden of doing business while managing your GST. It helps you to avoid common human errors while letting you keep a track of all your business transaction from your mobile phone itself.
Some problems exist in the app: While the website functions smoothly and looks like a stable application, the Android app feels new and has some bugs that I encountered while testing the app. When updating prices or when adding a new product, I got technical error messages (exceptions from the code). Error messages which are handled, are not sufficiently informative. For instance, if you try to login through the Android app and your phone is not connected to the internet, you just get an “Error” message but no information that you need to go online for the login to work. The app definitely needs some work!
